What do I put "Inc District" on the Response and Location tabs?

Always put the district that the incident is located in on both of these locations.  Even if you are the only one responding to a call, (i.e. E-5 is dispatched to a call in 9’s district), put 09 in the district and location field.  Be sure that you pick from the dropdown list or type the correct value in the field.  9 is not a correct choice here.  It must be 09.   We want to know how may calls were received in each district regardless of who made the call.  We have another way of reporting what trucks make what calls.

What trucks belong on the call?

Make sure that all of the apparatus that responded are listed on the incident and they at least have a Dispatch and Clear time under the Resources tab.  This is very important because the reports that we run look here to see who was on the call.  If all trucks are not listed, then the personnel on it do not get credit for the hours of the call.

What code do I choose on a vehicle accident?

 

VEHICLE ACCIDENTS ARE NOT CODE #321- “EMS CALL”

 

On a vehicle accident, under “Incident Type”, choose one of the appropriate codes:

·        Code #322-  “Vehicle Accident with Injuries”   If you pick this code, do not put that there were no injuries in the narrative.

·         Code #323-  “Motor vehicle / pedestrian” for a car vs. pedestrian incident

·         Code #352- “Extrication of Victims from Vehicle” if an extrication is performed

o        (i.e., forcible entry into the vehicle, window breakage, forced door, etc.)

·        Code #324- “Vehicle accident / No injuries” for vehicle accidents with no injuries.   i.e. you have any doubt about them being injured, you can use Code 322.   Also, if you have people involved in the accident that required no EMS treatment and you need to save info about them. Record their names using the “Persons Involved” under the Basic Tab instead of using  “Patient ID” under the EMS tab.

 

Using these codes, we will be able to determine

·        How many 10-50’s we responded to

·        How many were extrications

·        How many had injuries

·        How many did not have injuries.

 

Be sure to check the “Extrication” box under the EMS tab \ Injuries and Procedures if you have an extrication.

 

Under “Actions Taken” there are numerous codes to choose from under the EMS section but if any extrication was performed (i.e., forcible entry into the vehicle, window breakage, forced door, etc.) choose:

·        Code #23- “Extricate Disentangle” as an action taken and an EMS code as another action taken.

There is no Fire Controlled Time

That is a time that is not automatically shipped to FireRMS by the CAD system.  However, the dispatcher will be able to provide it if you gave an “Under Control” over the radio.  Call dispatch to get that time and put it in the report when you fill it out.

What narratives must the report have?

The report must have at least 2 narratives.

1.      CAD narrative- which is shipped automatically from CAD.

 

2.      OFFICER narrative- It should be name for the unit of the person writing the narrative. I.e., E4, L1, U2, etc.   It should describe the incident in detail.  Using this and the rest of the report should give the reader a clear understanding of what took place on this incident.  This narrative should give enough information so that if you have are called to testify about the incident in a few years, you can recall enough of the facts to do that.  Put anything here that may be of interest to the Fire Marshall or maybe something that just did not look right on the call.  You can also have members of your crew put their own comments here if needed. The title of their narrative should include their position. I.e., E4 Hoseman, G8 Driver, L1 FF, etc.

What info do I need on an EMS patient?

Fill out each page of the report with as much as info as possible.  Do not forget to check off the procedures that you perform on each patient.  (Do not check off procedures performed by AMS)

            What is the correct code and dollar loss for a dumpster fire?

The correct code for a dumpster fire is  "154-dumpster or other outside trash receptacle fire.  Many people are using the code "118- trash or rubbish fire, contained" when they have a dumpster fire.  Any code that begins with an 11 is structure fire.  So, using 118 would be a rubbish fire inside a structure. 

Refer to the Memo sent out by the Fire Marshall to determine the correct dollar loss based on the size of the dumpster.  This will cover repairs and will also allow them to file charges if needed.

            Rostering

 

When do I use a split?

You use a split when a person that is already rostered is changing assignments.  For example, if a person is changing stations, you would find which station the person came from and click the Split button.  Put in the correct station, truck assignment, and the proper hours that they will be at your station.  Now when that time comes, the person will show up at your station on the right truck.  This will also leave them at the other station for the other part of the shift that they worked. There will be 2 entries for that person in that case.  One at each station they are rostered at.

            When do I use the “ADD” button?

You use “Add” when you are adding a person that is not currently on duty to the roster.  For example, if a person is a callback, he is not normally on duty.  You can add him to the roster by clicking the ADD button and selecting the person from the list.  Put in the hours, station, and truck assignment and the click submit.

            People on AL, CT, etc. still show up on my truck.

This is caused when a person if off and they are still shown as riding a truck in the Rostering module.  To fix this, find the person on the roster and where is asks for apparatus, click the blank spot and the top of the list and click the submit button.  This will take them off of the truck for that day.

When do I use an “Exception” in Rostering?

An “Exception” is used when a person’s paycode is going to be changed.  In other words, you might be on regular duty all hours except 16:30-23:30 when you took AL.  You would enter an exception for that time.

Hydrants

 

What do I need to fill out on the hydrant form?

 

Click on the “HYDRANTS” button on the main screen.

To add a hydrant click on NEW.  Fill out the fields for the hydrant shown on the screen

To view existing hydrants, highlight the record you want to view and click the INFO tab.

Make sure that the following fields that are completed.

BASIC:

Number = District and hydrant number, these are assigned by you, generally in order of your current list.

Location = AW for Alley West, SW Corner, etc.  Street = Primary street, Cross Street, and your Station.

ADDITIONAL:

Classifications = Flow, Number of ports, Main size, ( Check the Dead End box if it is a dead end main.)

Ports = Enter the number of openings on the hydrant, usually 3

What info do I enter when flowing or painting plugs?

 

Click on the “HYDRANTS” button on the main screen.  Go to the “Activities” tab.

To see all of the past actions for this plug, under “Activity View Options” select ALL.

Click “New” to enter a new action for this plug.

Pick the action from the list. (Painting, flowing, etc.)

Fill in the completion date.

Enter the name of the person entering the record.

Add any comment. (Too close to fence, Turned in for service, etc.)

Click the “Save” button to save your entry.

 

When you have flowed hydrants and are ready to enter pressures, you can use the method below.  However, also record the pressures along with the year in the “Comments” box for that hydrant.  You can continue to add each year in this box so that you will have a record of pressures.

 

To use the Flow Calculator-  To enter the pressures when flowing a single hydrant, enter that data by clicking on the “Flow” button. (Make sure that you have the correct date selected that you entered in the step above)

In “Test Method”, enter Base Cap.

Enter the Static and Residual (flow) pressures

Discharge coeffecient is .90

Diameter size is 2.5

Be sure to enter a new action each year so that previous years records will be saved.

How do I print the list of plugs for my district?

If you want a printed list, Go to FireRMS Reports- Local-Hydrant Work Sheet by Station, and select the appropriate district.  You will have a list that you can use to work off of when working plugs.

FireRMS Reports

                        How do I check my Leave or check for available time off?

These reports are accessed by logging in to FireRMS and going to the Reports section. Select "Local" from the drop-down menu.

Use “AFD Staffing Query by Date” or “AFD Staffing Query by Employee ID". When running these reports you must check the “Use External Database” checkbox at the bottom of the report parameter box.  If you do not, you will get an error that says- Table not Found.  Be sure it is unchecked when running any other report that is reporting on FireRMS data.

            “Training” and “Other Entries”

 

 Where can I find help on entering records or running report on “Training” or the “Other Entries” tab?

The CD that was issued at the April 2002 officer meeting has 2 powerpoint programs called-

“Training Entry” and “Other Entries” that will help you through the process of entering records.  Updates since that CD were made can be found at I:\Software\Sunpro Training\Sunpro Reporting

 

 

Where are the reports located that will show Training or Other Activity records for a person?

You can access them by opening Sunpro, clicking the Reports button and selecting “Local” from the dropdown list.  Both work basically the same way and illustrations are shown at the end of this section.

Training Summary - The training summary report is called “Training by Date and Student”.   The company officer needs to run this for each person at the end of each trimester.  It will print out the training that you have completed and will give you a place to sign off on the form.

 

Other Entries - The “Other Entries by Person-Summary” should also be ran every trimester and kept in that employees file at the station.

 

 

 

 

 

  

As shown above, click “date” and enter the appropriate trimester dates, then click “student” and put your Employee id #. Be sure to click the “Add” button to move your id into the box at the bottom.  After the report runs, print it off and send a copy of the training report to the training secretary after you have signed off that you have completed that training for the specified time period.

          Where do I make entries when studying for promotional exams?

Hours for promotional studies are entered by going to "Training" and entering the hours as an informal class.  There should be a subject area that is close to what you need.  All informal classes end in .00  Select the one you need and add the participants to it just like any training class.
